Terms of Service

These are the rules for using QS Pilot. We've kept them short and as plain-English as a contract can reasonably get. If anything's unclear, email [email protected].

1. The deal

QS Pilot is a mobile app and website ("the Service") operated by QS Pilot Ltd ("we", "us", "our"). By downloading the app, creating an account or using this website you agree to these terms. If you don't agree, don't use it.

2. Who can use it

You have to be 18 or over. QS Pilot is built for builders and tradespeople running a business — sole traders, partnerships and small limited companies. If you're using it on behalf of a company, you're confirming you have the authority to bind that company to these terms.

3. Your account

Keep your login details safe. You're responsible for what happens under your account, so don't share your password. If you spot something suspicious, email [email protected] and we'll help.

4. Subscription and payment

QS Pilot is a subscription service. Current pricing is shown in the app and on our pricing page — prices can change over time but we'll always tell you before a renewal is affected.

Billing goes through Stripe on the web and Android, or through Apple's In-App Purchase on iOS. Whichever route you sign up through is the one that manages your subscription. Prices are in GBP and include VAT where applicable.

Subscriptions renew automatically at the end of each billing period unless you cancel. You can cancel at any time:

Cancelling stops the next renewal. You keep access until the end of the period you've already paid for. We don't do partial-period refunds.

Your 14-day cancellation right (UK consumers). Under the UK Consumer Contracts Regulations 2013 you normally have 14 days to cancel a digital service contract for a refund. Because QS Pilot gives you full access to the Service the moment you subscribe, by starting your subscription you expressly agree that the Service begins immediately and you acknowledge that you therefore lose your 14-day right to cancel once you start using the paid features. You can still cancel future renewals at any time as described above.

5. Free trial

New users get a free trial. No card is needed to start. At the end of the trial, your data stays in your account but the paid features lock until you subscribe.

6. What the AI does, and what it doesn't

This one is important.

QS Pilot uses AI to turn messy inputs (photos, messages, notes) into structured quotes and cost records. The AI suggests. You always decide.

We keep showing you the breakdown, and we let you edit anything, precisely so you stay in control.

7. Your data, your quotes

Your projects, rates, quotes and cost records belong to you. We never claim ownership of your business data. You can export Final Accounts as PDF or CSV at any time, and you can delete your account — and everything in it — from inside the app.

8. Acceptable use

You agree not to:

We can suspend or close accounts that break these rules. We'll normally tell you first unless there's an urgent reason not to.

9. Intellectual property

The QS Pilot app, website, branding and underlying code belong to QS Pilot Ltd. You get a non-exclusive, non-transferable licence to use the Service while your subscription is active. That's it — nothing in these terms transfers ownership.

10. Service availability

Most features need an internet connection — sync, AI processing and billing all run through our cloud. Local capture (photos, typed notes, draft quotes) keeps working in low-signal spots and syncs when you're back in range. We work hard to keep our servers up but we don't guarantee uninterrupted service, and we might take things down briefly for maintenance.

11. Limits on our liability

Nothing in these terms limits our liability where the law says it can't be limited — for example, for death or personal injury caused by our negligence, or for fraud.

Subject to that, and to the maximum extent allowed by law:

If you're a consumer, this doesn't affect your statutory rights under UK consumer law.

12. Ending the agreement

You can end this agreement at any time by cancelling your subscription and deleting your account.

We can end this agreement and close your account if you break these terms, or if we stop offering the Service (in which case we'll give you reasonable notice and a chance to export your data).

13. Changes to these terms

We might update these terms as the app evolves. If a change materially affects you, we'll tell you in the app or by email at least 30 days before it takes effect. Carrying on using QS Pilot after the change means you accept it. If you don't, you can cancel.

14. Governing law

These terms are governed by the laws of England and Wales. Any dispute that can't be sorted out informally is subject to the exclusive jurisdiction of the courts of England and Wales.
